When the power goes out, we want to make sure staff and clients are safe. We also want to make sure staff feel prepared and know what steps they should take.

Send a short email to All Users so they know what’s going on when they can’t reach your site.
DTE: 1800.477.4747 to report the outage (if @ the Farm during business hours, Ashley H. will make the call).
IVS-create a ticket at ivscomm.com to re-route phones to Spera or DFD depending on staffing. If phones are out at Spera, then re-route phones to the Farm.
If at the Farm after hours, contact Jonathan Stoddard. @ 734-642-7156.
If Internet/phones are out at any location all RAs ( Residential Aides) should call Ted Heaton (IT Administrator) 734-325-3488 at the start of their shift.
If power is out for more than 1 hour or the temperature drops below 55 F, contact your supervisor and Ted Thiry, the Facilities Coordinator.
1. Locate the emergency supplies, and quickly assess the situation to determine whether or not there are any other emergencies or severe weather, where all the clients are, whether the phones are working, and whether there is a vehicle available or not. If there is a more pressing emergency situation or a need to evacuate, follow the appropriate procedure before following these procedures.
Flashlights are located:
Farm- Staff kitchen by Daybook
DFD- Staff bedroom
Spera- Staff Kitchen under the sink
OP- Large group room
2. Collect the client roster and a cell phone, and immediately proceed to the living room (or lobby at Outpatient). Once all clients are present, do a roll call.
3. Distribute flashlights to clients, keeping track of which clients are responsible for returning them. Make sure that there are enough flashlights available for one flashlight in each dorm room, one flashlight in each bathroom, and one flashlight in the main staff office(s).
4. Contact DTE to report a power outage and get an estimate of when power may return.
5. If power is expected to be out for a long duration of time, contact your Program Coordinator for further instructions.
6. Complete the Emergency Drill Report on Apricot and log in daybook
Follow all instructions from your Program Coordinator if this is a real power outage
During winter, clients at residential facilities will remain in the facility until the temperature drops below 55°F. At that point, other arrangements will have to be made. Contact your supervisor or Admin if unavailable for further instructions.
Do not open refrigerators or freezers if not necessary. When the power comes back on, the general rule of thumb is food left at temperatures above 40°F for more than 2 hours must be thrown out.
Immediately fill enough coolers with ice to store any remaining milk on site. This can be used for cereal in the morning.
Consult your supervisor if alternate food plans need to be arranged. If unavailable, contact the Clinical Director or Project Manager to place the food order.
A Few Notes about the Farm:
The wiring in some of our facilities can be weird, especially at our Farm location. Some areas may be powered while others stay without. This is normal in our building. In the event of an actual power outage, battery operated emergency lights should come on to illuminate hallways and emergency exits. These will last about 20 minutes to an hour-enough time for staff to locate supplies and gather clients.
While power is out, all upstairs water will still function- there is no need to worry about flushing toilets or using sinks! However, do not use the laundry machines or toilets in basement.
Partial Power at the Farm
In the Maintenance room next to the hot water heater you will find several power strips and extension cords in milk crates. Plug an extension cord into the power strip behind the copier in the staff kitchen. Bring the connected cord over to the client kitchen to power necessary items.
Clients
Clients at the Farm should stay on the main floor in either the dining or living room.
